Manual or connected
What changes with integration
Bring your schedule into the Portal and reduce the manual work of matching alerts to your operation.
| Your workflow | Without integration | With integration |
|---|---|---|
| Maintain schedules | Enter schedules and fleet information by hand and keep them current. | Flight schedules populate automatically from your provider into My Schedule. |
| Focus alerts | Manage country subscriptions and cross-reference alerts with flight activity. | Active Alerts are matched to scheduled flights up to 72 hours before departure. |
| Identify impact | Check which flights, aircraft, and crew may be affected. | See aircraft with Active Alerts and the crew operating the affected flights. |
Active Alerts
Visibility over the next 72 hours
Integration uses your schedule to focus alerts around current locations, destinations, and flight routes over the upcoming 72-hour period. As your schedule changes, alert coverage follows it.
When a threat emerges, see which flights and crew may be affected and where your operation is exposed.

Questions and answers
Integration FAQ
What to expect when connecting your flight and crew schedules to MedAire Portal.
Getting connected
How do I get an integration set up?
Choose a main contact for your operation and arrange the provider access needed for the connection. MedAire will explain the requirements directly to that contact. Setup typically takes about two weeks after MedAire receives all the required information.
Can I connect more than one scheduling provider?
You can connect one provider per client. Choose the system that holds the most complete information about your flights and crew. If one provider holds both your flight plans and crew schedule, use that provider for the connection.
Does integration change data in my scheduling system?
No. The connection only reads information from your provider's API. MedAire does not send changes back to your scheduling system.
Who should I contact if the integration stops working?
Contact your MedAire account manager for help with the connection.
Schedules and routes
Can I still add aircraft and crew details manually?
Aircraft and crew contact details for your integrated schedule must come from your scheduling system. Once connected, you cannot add these details manually to the integrated schedule.
You can still add an aircraft manually in My Fleet to display it on the map. An aircraft added this way does not receive automatic routes or flight-linked alerts.
How often does my schedule update?
Schedule updates are near real time. The timing depends on your scheduling provider.
Do flight routes appear automatically?
This depends on your provider. Some send routes automatically. Others require you to select the flight in My Schedule and load its route into My Routes.
Only published routes appear in My Routes. If a route has not been published, alerts can still be matched to the flight using its departure and arrival airports.
Crew
How do I see the crew assigned to a flight?
When your provider supplies crew details, select an aircraft tail number in My Schedule or Fleet Overview to see the assigned crew.
If your provider does not supply crew information, you cannot add it manually after integration is enabled or send those crew automated alerts tied to their schedules. Crew can still use the MedAire app and subscribe to alerts themselves, but those alerts will not be linked to their flights.
Can crew receive alerts on their phones?
With MedAire360 and integration, crew can receive alerts by SMS, WhatsApp, and email. Request this during setup. Your scheduling provider must supply both each crew member's phone number and email address.
Alerts
Which flights are covered by flight-linked alerts?
Flight-linked alerts cover aircraft with a flight departing in the next 72 hours, including aircraft already in the air. Alerts are matched within 100 km of the flight route. The 72-hour window and 100 km distance are fixed.
What types of alerts can my team receive?
Security, medical, and aviation alerts are available, and you can choose the types you want to receive. Alerts go to crew on affected aircraft, flight operations, and designated security or risk contacts through their preferred delivery method.
Can I still see alerts that do not affect my flights?
Yes. You can still see all active alerts on the map, including alerts outside your scheduled flight activity.
